Submissions Improvements

The submissions system has been upgraded allow multiple files to be uploaded for each submission.

For example, if a competition calls for an own choice piece of music with notation, words and translation, one document will satisfy this requirement. But it would also be possible to upload a document containing the Gaelic words, one containing the translation, and one containing the music notation - a total of three in all. Simply keep adding documents. When you have enough documents uploaded to fulfil the entry criterion you will be given the option to "finalise" the submission. At this point, everything you have submitted will go off to our staff to be checked and approved.

New feedback facility

25th May 2015

A new feedback facility has been added to the site in order to allow visitors to report any issues they experience, or request technical help with their entry. Feedback goes to administrative and technical staff and should be answered promptly.

There were some issues last week with life members signing up for competitions. These should now have been resolved.

New changes should make it easier for members

This year we have implemented many changes aimed at making it easier for senior entrants to manage their An Comunn Gàidhealach membership. This impacts your use of the online entry system even before you first login. When you visit the online entry system at enter.ancomunn.co.uk

Logging In

You may already have an account with us

If you have been a member of An Comunn Gàidhealach in the past, or have used the online entry system, then it is likely that you already have an account on the system. Visit the Retrieve Details page to gain access to your account.

Resetting your password if you know the email address or username we have for you

On the Retrieve Details page you will find a standard username / email password reset facility. This has been changed this year so that you can use either your username or your email address to reset your details. If you know either your username or your email address but not your password, then enter your username / password in the box and hit "Reset Password" to be sent a new password.

Multiple Accounts Sharing the same Email Address

In a few cases two user accounts will share the same email address (usually where the conductor of a choir or group is also an individual member). In this case, if you provide the email address you will be sent an email listing the usernames associated with this account. This ensures that only people with access to that email address can retrieve this information. You will then be able to use the relevant username to reset your password and login.

If you don't know the email address or username we have on our system

Further down the Retrieve Details you will find a form in which you can enter some details to allow us to find you. It looks like this:

If you know your ACG Membership Number

If you know your ACG Membership Number (even for expired memberships) then we can find you quickly. Enter your full membership number in the ACG Membership Number field and click the "Retrieve Details" button. You will be taken to a page that looks like this:

The page contains the email address we have for you. This is obfuscated for security. The username is also shown. If you recognise the email address as one of your own, then click the button that reads "Yes - this is me and I still ahve access to this email address" to have your login details reset and sent to that email address.

If you don't know your ACG Membership Number

If you don't know your ACG membership number we may still be able to find you. Fill out either your Forename(s) / Surname or your Choir or Group Name (as appropriate). Fill in your date of birth - we probably don't have your date of birth currently, but if we do this will be used to be sure we've got the right person. Enter the first line of your address also your post code. Try to get the details as accurate as you can. If we can find your details you'll see the same page as shown above with the obfuscated email address and user name on it.

Entering a competition

When entering a competition now there are a few changes to help the entry process.

"Autofill"

When you are filling in the competitior's name or the name of the competing group or choir a small box will appear under the name box with the details of any matching entrant or member that is associated with your account. Clicking one of the options will automatically fill in the rest of the details. This makes it quicker to enter multiple competitions. The options box looks like this:

If the user you pick is a member the page will refresh and the membership details will be filled in.

Note that while the usual case for senior entrants will be entering yourself for competitions, this doesn't have to be the case and the system is set up so that you could be entering another person and ensure they have up to date An Comunn Gàidhealach membership.

Membership Status

If you are entering a competition which requires membership you now have three options to choose from as below:

If you have used the "autofill" the most appropriate option will automatically be selected. If the user had a membership number assigned to them, the screen will have refreshed and either "IS a member" or "WAS a member" will be selected depending on whether the membership will be current on the day the relevant event starts. Membership that is described as "WAS a member" includes membership that is pending payment. It simply means we have found your membership information but your membership is not paid up to take you past the day the relevant event starts. In all other cases the status will show that this user is "NOT a member" of An Comunn Gàidhealach and the "Join An Comunn Gàidhealach" box will be shown.

If the "NOT a member" option is selected the following box will be shown:

The details may be partially filled out already if you used the "autofill" option above. Simply fill in these details along with the rest of the form to create a membership account for this competitor. The membership will be added to your order when you go to pay for your entries.

The system is smart enough to only require you to pay for each membership once even if that member enters multiple competitions.

Retrieving a members details without using autofill

If you are adding a competitor who is or has been a member of An Comunn Gàidhealach but who is not associated with your account at all (you have not entered them for events in the past) then you can use "Retrieve Membership details" box to find them. This works in the same way as the "Retrieve your details" form shown above. The Retrieve Membership details box will show when you set the status to either "IS a member" or "WAS a member" without using the autofill. The box looks like this:

Note - if you do not know the ACG number you must have filled out the competitor name further up the entry form as this is used along with the other information you supply to try and retrieve the member's details.

If the member isn't found then you will need to create a new account for this user, or contact us for this members ACG number.

Paying for entries

When paying for entries from the main screen now, membership will automatically be added on as appropriate. To provide best value, one year's membership will be added on from the current date or from the date the membership expires whichever is later.

Other Changes

There have been a host of other changes for this years entries to make the whole process quicker and easier to use.
